Automotive & dealership terms, explained

Plain-English definitions of the ERP, DMS, tax and inventory terms every GCC car dealer runs into.

DMS (Dealer Management System)

Software that runs a car dealership's core operations — inventory, sales and customer admin. A modern DMS extends into CRM, finance and inspection.

ERP (Enterprise Resource Planning)

Software that runs a whole business from one connected system. An automotive ERP ties inventory, CRM, finance, inspection and reporting together for a dealership.

VIN (Vehicle Identification Number)

The unique 17-character code identifying a specific vehicle. Tracking stock by VIN lets a dealership follow each car's cost, condition and history individually.

Landed cost

A vehicle's true total cost including purchase price, transport, customs, reconditioning and VAT — the correct basis for calculating margin.

Days-in-stock

How long a vehicle has sat unsold. Lower days-in-stock means capital is turning faster and losing less value to depreciation.

Stock turn (turnover)

How many times a dealership sells and replaces its inventory in a year. Higher turnover is the engine of dealership profitability.

ZATCA (Fatoora)

Saudi Arabia's tax authority and its e-invoicing mandate. ZATCA Phase 2 requires structured electronic invoices with QR codes and cryptographic stamps.

FTA (UAE)

The UAE Federal Tax Authority. FTA-compliant tax invoices apply 5% VAT and capture the buyer and seller TRN.

VAT (Value Added Tax)

A consumption tax added to sales. Rates vary across the GCC — 5% in the UAE and Oman, 10% in Bahrain, 15% in Saudi Arabia.

TRN (Tax Registration Number)

A business's VAT registration number, required on compliant UAE tax invoices.

Fleet utilisation

In car rental, the share of the fleet earning revenue at any time. Higher utilisation is the key driver of rental profitability.

360° inspection

A documented vehicle condition check capturing photos from every angle plus a damage map, producing a shareable digital condition report.

Trade-in

A used vehicle a customer gives as part-payment toward another car. It is both an acquisition and a part-payment on one deal.

Marketplace syndication

Publishing dealership inventory automatically to online classifieds such as Dubizzle, YallaMotor, Syarah and Haraj.
